Office Manager


We are currently seeking an experienced Office Manager to provide vital support to our residential team in Ascot. 


The successful candidate will be responsible for;

  • Administration through Reapit database to include: Adding Properties and Applicants, matching properties to applicants, booking viewings and general correspondence;
  • Equifax Checks including Land Registry, Client On-Boarding Forms – completed accurately and recorded on AML spreadsheet on monthly basis;
  • Run Power Reports weekly for AML compliance;
  • Management of key system;
  • Support with Saturday rota;
  • Support with Weekly figures (Stripes);
  • Run Data Accuracy Reports from Reapit (95% benchmark), and Applicants and Vendors to Call every 2 weeks;
  • Rightmove – refresh any images, run Rightmove reports (depending on who champions Rightmove in the office);
  • Create invoices e.g. marketing costs, fee invoices and save on Reapit;
  • Processing supplier invoices;
  • Preparing advertisements via EzAdsPro system within required deadlines;
  • Managing the Direct Mail campaign using Address Intelligence to create the mailers;
  • Tracking the Budget for any over/under spend;
  • Updating window cards;
  • Preparation of pitch packs;
  • Ordering office stationery;
  • Ordering sales boards and saving on Reapit;
  • Responding to the PR requests regardless of whether or not you have a suitable property;
  • Fielding telephone calls, assisting the caller when possible or taking and passing on messages;
  • Diary management for team members including arranging of internal and external meetings and team meetings;
  • Liaison with clients, suppliers and other staff;
  • Monitor Internet Registration leads;
  • Manage the Twitter account for the office and ensure everyone is on LinkedIn
